Transport:
- Follow up with car suppliers for repair, oil changes of cars on regular basis;
- To follow the car management of ACTED relevant base with support of Logistic Officer in area offices;
- To follow the cars fuel consumption, fuel distribution and cars log book on regular basis;
- To ensure the cars log book filled in properly by car users and drivers;-
- Collect the car log book on monthly basis by (1st of each month for previous month);
- To follow and ensure drivers are well aware of their responsibilities, the cars are clean and well arranged;
- To ensure all rental cars are equipped with seat belts, first aid kits, fire extinguisher and Emergency contact list;
- To ensure the cars are parked in front of ACTED offices in Amman and area offices and the keys are placed in key boxes under supervision of one supervisors;
2. Assets/Communication Follow up
- To ensure all assets are registered and numbered and stored in proper places in storage;
- To ensure that assets distributed to users based on proper “asset reception form” - Follow up of ACTED communication tools/assets and communication cost follow up;
- Ensure that ACTED assets used properly by users;
- Conduct on monthly basis the Office/GH inventory and update the inventory table with update information
3. Procurements:
Receives OFs for local purchases from the concerned requester after authorization.
- Requests price quotations from various suppliers for preparation.
- Submits selection for approval according to the financial rules of the Delegation to the Purchaser.
- Assists the Logistician in charge,
- Procures the requested items in the shortest possible lead-time and against the most advantageous cost whilst taking into account that quality of the goods must remain within ACTED standards.
- Ensures follow up of the purchasing process until delivery of the goods and ensures official handover of items against signature of receipt.
- Understands and fully adheres to ACTED purchasing procedures and financial rules and uses these to ensure transparent and accountable purchasing activities.
- Maintaining of adequate supplier pool within the assigned field of work.
- Strong participation in developing coherent purchasing strategies and implementing these within the guidelines of ACTED purchasing rules.
- Handles petty cash purchases upon requests.
4. Monthly Reporting
- To provide monthly Logistic report (Asset follow up reports, Fuel consumption report, Communication report and Stock Situation report) to Country Logistics Manager on 5th of each months;
- Ensure to cross check monthly report with Finance prior to share with CLM or Coordination for review;
5. Stock Management
- Ensure all commodities and goods are well organized in the stock by project/program; and WFP program daily requests
- Ensure all commodities and goods have stock cards and registered in “Stock Situation Report”
- Ensure all commodities for stock commodities IN/OUT have “Stock Request” form, “Waybill or Reception Voucher” and properly recorded in “Stock Cards” and “Stock Situation Report”
- Ensure the tidiness and well protection of goods/commodities in stock and monthly stock inspection form is filled in by (non-logistic member) regularly
- Ensure the safety and security of stock/Warehouse and ACTED commodities/goods within stock; - check the fire extinguishers are in working condition in stock, control the entrance and exit door locks etc.)
5. Filing Logistic Folders:
- To create and update Logistic documents and file them regularly for FLAT compliance; (separate folder for each car, Assets follow up, communication follow up, stock follow up)
- Ensure to documents each car information (log book, fuel follow ups etc.) within each car folders
