1. Roles and Responsibilities
The following is a brief description of the role.
Generic responsibilities
These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.
• Supports the assigned NRC staff in their professional development, identifies training needs, supports staff to achieve the objectives defined in their learning development plans.
• Monitors the progress of activities of staff under supervision or contractors and ensures they are implemented conform planning and quality standards or Manages progress of own activities.
• Develops weekly activity plan or Develops weekly activity plans.
• Adheres to NRC policies and procedures, handbooks and guidelines.
• Implement and maintain NRC’s administrative systems and procedures.
• Support the line manager to ensure adherence to NRC’s policies and procedures.
Specific responsibilities
These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly. The line manager drafts the specific responsibilities and sends them to his/her line manager for approval.
1. Receive, review and screen all incoming and outgoing correspondence and documents and perform preliminary checks for accuracy and completeness
2. Sending, receiving, distributing and filing incoming and outgoing faxes, letters and other documents.
3. Ordering office and guesthouse supplies, stationary and keeping an updated tracking of received and distributed supplies.
4. Manage a centralized stock of office supplies and stationaries for the Irbid office, including stock counts and log book.
5. Supervise the cleaning staff and manage their work performance and schedules
6. Process refreshment purchase requisitions for meetings and events and other general purchase requests in accordance with NRC’s rules and procedures
7. Ensure that utility bills for NRC office, houses/apartments are paid in a timely manner
8. Ensure that maintenance work required for the office and the guesthouse are carried out in a timely manner by supervising the external contractors.
9. Support reception area when needed
