Purpose of the post:
The Course Administrator is an active member of the LnD Team working to meet its objectives. It means that through excellent team work, good communication and cooperation, the course administrator helps ensuring the smooth running and success of all the training activities, especially in the field of logistics and organizational support. The course administrator supports both the LnD unit of Amman and the Regional Trainers Network when/if needed.
Job Description:
Management of the Office: General tasks
- Drafts written correspondence for the regional LnD
- Deals and follows-up on Welcome Service
- regarding training courses and all related LnD requirements
- Deals and follow up on billing and payments
- Maintains and updates all manuals and computerized training records
- In charge of the filing system
- In in charge of uploading/updating all LnD documents on the Team Space
Management of Office: Regarding Training courses
- Prepares and modifies courses' material, programme and contents in accordance with resource persons
- Contributes to the organisation of courses: (invitation letters, approvals related to criteria, selection of participants, preparation messages, programmes, identifying/inviting resource persons, compiling lists of participants, follow-up messages, etc)
Follows-up communication with Hotels/Welcome department regarding programs and set-up of rooms
- In charge of maintaining an updated planner for the department including courses, missions, absences, etc.
- Ensures a presence in the venue during a training event, as per the requirements set for each course.
- Maintains, retrieves and supplies information in both computerized and manual based systems for all courses.
- Assists the trainers in responding to specific training requests
- Assists other departments in setting up and organising seminars and training events
Supports the Prot Trainer in Amman with the organisation of Prot-related training taking place in Amman or other requests the trainer might have (certificates for example)
- Supports the Security Crisis Management Unit (SCMS) in organising their training in Amman (venue, set up, coordination with welcome, etc)
- Contributes to adapting certain exercises and input for courses to change and fit into the context
- Liaise with Training Relays for information about the courses, statistics and training issues
- Helps with the process of training needs assessment and evaluation in different delegations of the regions that LnD covers
Prepares attendance certificates for participants
Computer and web management
- Responsible of the technical aspects of the e-learning in coordination with Geneva in particular the preparatory work, the assessment questionnaires, the e-learning modules, the support material, etc. provided before/after each course.
- Creates and follow up the different learning platforms
- Registers course participants on PeopleNet
Updates courses on the Training data base or Intranet
- Maintains and updates the Training database for all courses.
- Uploads/updates all LnD documents on the Team Space
- Ensures back-up of LnD unit computer files
Reporting
- Independently synthesizes and edits the courses' evaluation forms
Independently prepares the courses' statistics
- Prepares and compiles inputs for reports including the Midterm Review report, PfR, Monthly report, Quarterly report, and courses' reports
- In charge of delivering any input required from Amman delegation for the Quarterly Update, Monthly Highlights, Yearly Facts & Figures (etc), in coordination with the Head of Unit
Support to Training courses
- Prepares the training rooms
- Installs the training media
- Assists the trainers with all issues related to the organization of the course and the venue
- Assists the LnD colleagues in responding to specific training request
- Assists other departments, as well as the Prot trainer and the SCMS Unit, in setting up and organizing seminars and training events
Contributes to adapting certain exercises and input for courses to change and fit into the context in close coordination with the trainers concerned
- Liaises with Training Relays for information about the courses, statistics and training issues.
Delivering courses
Contributes to delivering "Working in the ICRC" course
General Duties:
Be aware of the delegations objectives and activities
Understand the three components of the Red Cross/Red Crescent Movement
Apply the security rules at all times
Respect and observe the staff regulations of the ICRC in Jordan.
The employee may be asked to perform other duties not covered in this job description as well as to provide support to other departments when and if necessary.
