Job Purpose

Reporting to the senior Logistics Officer, the Fleet Assistant is responsible for the efficient coordination and management of all transport, fleet, and equipment management functions for ACTED Regional office. The position will also be responsible 


Objectives

  • Implement and direct ACTED standard Vehicle policies and procedures, with attention to safety and security issues.
  • Work with the Senior Logistics Officer to ensure that vehicles are prepared for routine and emergency security requirements.
  • Generate and / or maintain comprehensive price list for spare parts
  • Flight ticket management


Duties & Responsibilities

  • Work with the Senior Logistics officer to design a suitably staffed and equipped transport function to support ACTED’s vehicle operations and policies.
  • Manage and be accountable for the inventory management of all vehicles related parts and consumables, including fuel
  • Evaluate, manage, and monitor drivers.
  • Focal point for all purchases in Transport department. Raising OFs for vehicles spare parts and vehicle repairs.
  • Manage the Fuel Report
  • Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including insurance).

-        Ensure that all vehicles are secured when not in use.

-        Be familiar with local regulations / traffic laws.

-        Ensure that appropriate communications while reservations for movement or flight ticket bookings.

-         Ensure that equipment is installed and functioning in ACTED vehicles to meet the operational and security requirements.

-        Prepare weekly and monthly report on transport department and discuss with the Senior Logistics officer

-        Vehicle fuel/movement forms should be up to date (Log sheets for each vehicle) for refuelling and keeping accurate record and monitoring system on fuel consumption.

-        Vehicle checklist report should be monitored weekly

 

  • Flight ticket management:
  • Very strong using Microsoft office skills (Excel) and owns the skills to manage a flight ticket booking system sheet (ITR).
  • Rapid and quick response for any ticket reservation
  • Payment follow up
  • The ability to track each flight ticket from reservation stage until the service is completed
  • Follow up in the reports issuance with the traveling agency company
  • Track traveling agency payments.
