Organizational context
Together with the German Red Cross (GRC), the Jordan Red Crescent Society (JRCS) is continuing its Community Based Health and First Aid and Cash Transfer Program in the Governorate of Irbid as a response to the Syria crisis.
The position holder will be hired by JRCS and seconded to the German Red Cross office in Amman; the position holder will work in close coordination with the JRCS in Amman and Irbid.
Job purpose
The purpose of this position is to oversee and ensure consistent systematic receipt, processing and response to beneficiary feedback and complaints in the Syrian Refugee Response programs that come through the complaint hotline. The position holder works closely with GRC Database Officer and Logistics and Program Support Officer to share the complaints and feedback data from field and register them centrally. The position is essential to reflect beneficiaries’ needs and rights and in line with GRC/JRCS commitment to be accountable to the disaster affected people. Furthermore, the position holder takes over administrative tasks for the office and project management and, therefore, works closely with the Finance and Logistics and Program Support Officer as well as the Programme Coordinator.
Main Objectives
-  To oversee and ensure consistent systematic receipt, processing and response to beneficiary feedback and complaints.
- To support the GRC Delegation in all administrative tasks in order to facilitate the correct implementation of the GRC projects in Jordan.
 
 Job Duties and Responsibilities
Beneficiary Communication
-  Receive, process and respond to complaints and guide beneficiaries that seek help through JRCS/GRC hotline
- Follow up on complaints and feedback with appropriate team members and respond to raised pending issues
- Ensure a proper filing system for all the complaints and feedback taken through the helplines
- Collect the complaints and feedback. Make a daily data entry for all the data collected through the helplines. Record the complaints in the database and report it to GRC Delegate
- Support beneficiaries through information sharing relating to services provided by JRCS/GRC and partner organizations.
- Prepare monthly and quarterly trend analysis/reports of received complaints and feedback
 
Administrative support
- Manage filing system of the office and prepare documents for signature and/or action
- Monthly photocopy GRC clearance
- Support translation of invoices and receipts as well as procurement documents
- Provide day-to-day support to GRC office, including purchase and stock keeping of office equipment, and ensure smooth operation of the office
- Standby at workshop/training/meeting venues and provide assistance in registration, photocopying, faxing, equipment set up and any other relevant official request when required
- Carry out additional responsibilities and projects as assigned by the line manager
 
General:
- Support delegate as translator/interpreter when required
- Other tasks may be assigned as required
