Standard Function Description
• Maintains timely and accurate data entry in JDE of all stock movements
• Supervises warehouse employees in carrying out the efficient and effective operation of the warehouse
• Ensures all stock items are accompanied with appropriate documents
• have specific knowledge of the items stocked in the stores
Security
• Adheres with the security rules
• Supervises and assists the clean and safe unloading of arriving consignments and checks that all consignments are accompanied by their respective Delivery Notes, Waybills or Packing Lists
• Compares the number of parcels to the Delivery Note and transfers the cargo to the stocks
• Performs a complete entry inspection and informs the Warehouse Manager Assistant of any discrepancies between Packing Lists, POs and the physical consignment
• Performs a quality control (kind of goods, quantity, packaging, shelf life, labelling etc.) of all arriving goods
• In coordination with the Procurement Unit, carefully inspects suppliers’ deliveries in terms of quality and quantity and comparing those with the Purchase Order
• Inspects cargo arriving from other ICRC sites according to principles similar to the ones used for ex-supplier deliveries, comparing Packing Lists to the documents issued by SCA unit
• Issues and/or updates Bin Cards for each lot of arrived items
Quality control
• Whenever needed, makes sure that the Quality Controller signs the Inspection Form, rejection form or other Quality Control documents and that (copy of) such documents are attached to the Receiving Slip
• Prepares and submits the request for opinion on quality (with Specification and Certificate attached) of concerned item to the Quality Controller
• Regularly making quality control of stocked items in coordination with his hierarchy and informs the warehouse manager of irregularities
Storage
• Ensures warehouse inventory is organized and stored in an orderly, accessible and safe manner
• Ensures proper storage of all goods and takes necessary measures to protect them adequately from heat, freezing, water, fire, dirt and vermin
• Ensures that no goods are stored directly on the ground
• Ensures storage of all goods in order of their group/family, expiry dates, and purchase reference numbers within FIFO / FEFO rules
• Ensures that Bin Cards are attached to all lots and updated timely
• Ensures a good access to goods
• Keeps a strict eye on rules applicable to DGR (Dangerous Goods Regulation) items (gas, corrosive products, explosive products) and if needed (import license, turnover, register, locked cupboard, specific packing lists) in close coordination with the Warehouse Manager
Expiry dates
• If food or other goods on stock come up close to expiry date (less than 6 months), prepares list of short expiry goods and submits it to the Warehouse Manager for action. For expired items, reports to the warehouse manager, picks items from the stock, stores them in a separate area and initiates procedure for destruction in close cooperation with Warehouse manager and his assistant.
Picking
• Upon request of the Warehouse Manager, looks after SOs of pending orders
• Commits the goods taking into account the picking rules (FEFO or FIFO) and logical considerations (release of locations, the stock in poorer condition goes first, etc..), and also the specifics of special instructions for different countries, notes on the Picking Tickets or as specified by the SCA, Transport or the hierarchy.
• Printing of the Picking Ticket
• Picking of the goods according to the Picking Ticket and systematic re-closing of packaging (SKUs: Stock Keeping Units) with ICRC scotch
• Where applicable, to open up storage spaces for bigger volume lots, transfers, both physically and in JDE, the remaining small lot quantities
• Identification of the picked goods on the Picking List (code, description, batch, expiry dates, serial number, etc.)
• Physical and in full, transfer of goods on the Picking Ticket to the Packing area
• In case of discrepancy between JDE register and the physical state of stocks, performing an investigation for an eventual Claim in close cooperation with the Warehouse Manager and his assistant
Packing
• Control of the picked goods (nature, code, quantity, batch / serial number...) against the Picking Ticket
• Green or red lights (in case of discrepancy) the validation of the Picking Tickets in JDE
• If red lighted, correction of the picking
• Packing of the goods, taking into account any local or business specifications
• Numbering of parcels and registration of dimensions and weight on the Picking Ticket
• Issuing of the Packing List in JDE,
• Systematic combining of the PPLs
• Labeling of the packages,
• Validation of the PPLs
• Classification of documents in the PPL file
• Provision of documents (copies) to SCAs,
• When necessary, is responsible of repacking of allocated PO orders,
• Packaging of DGR goods.
Warehouse facilities
• Reports to the Warehouse Manager for the maintenance of the warehouses as well as its infrastructure (pallets, shelving, electricity and water supply, lighting, air-conditioning)
Others
• participate in loading and unloading trucks,
• Participates in ad hoc and annual inventories (stocktaking),
• Participates in maintenance of warehouse and equipment,
• Participates in stowage and cleaning of the premises.
Overall, each employee is responsible that:
• His place of work and his assigned area are kept clean of any waste,
• The various material are removed and bins are emptied regularly,
• Wood waste is taken out to the designated area,
• The assigned machines are maintained
