• Answer the phone, refer calls and take accurate messages.
•  Make calls as requested.
•  Ensure an up to date telephone list is kept.
•  Dispatch all faxes arriving in the office, send all faxes when asked.
• Ensure that all the machine’s paper (printer, photocopier, fax) is full.
•  Check and dispatch mail, letters, memos to relevant persons; keep track and a register book.
• Contact suppliers to follow up on payments  (according to the payment schedule decided bythe administrative team).
• Translate of documents as asked by the management team (for example letters, contracts)
• Translate all letters in and out and file them correctly.
•Do typing, scanning, filing and  photocopying on request.
• Schedule meetings.
•  Manage bookings of the meeting.rooms.
•  Distribute and collect phone bills, ensuring that the deadlines are respected.
•Keep notice boards up to date.
• Maintain stocks of stationary and standard forms for office use.
•  Ensure that the daily newspapers are available in the office.
• To support the process of obtaining visas and residencies.
• To provide cover for other admin staff in their absence.
• When requested, support organisation of meetings, including sourcing materials needed (boards, beamer, etc) booking external venues, arranging snacks etc.
• Translate verbally in meetings as requested.
