Plan, coordinate and monitor all logistics related activities in the startup phase of the Decentralized Unit based in Amman and provide support to the Unit activities (including the startup phase of the Amman Center for Humanitarian Medicine activities), according to MSF protocols and standards in order to ensure an optimal running of the Unit.
Accountabilities:
• Assist in the definition and follow-up of all logistics activities, initially related to the establishment of the new office (communication, services and connectivity, equipment and infrastructures).
• Identify and select service providers and enterprises, according to MSF policies and procedures.
• Monitor, on a day-to-day basis, the implementation of logistics and technical activities, ensuring compliance toMSF standards, protocols and procedures:
o Ensure good setting and functioning of the office.
o Ensure supply procedures, processes are in place and that supply is done in a timely manner.
o Guarantee means of communication.
o Implement all administrative related activities linked to logistics (purchase orders, insurances, development of contracts, rental of premises, etc.).
• Participate in the planning, with the Project Manager and Logistics Coordinator, and identification of potential HR needs to ensure both the sizing and the amount of knowledge required to correctly perform all logistics activities.
• Ensure technical reference for all logistics/technical issues in the Decentralized Unit, based in Amman and provide coaching to logistics staff under his/her responsibility.
• Ensures all staff are properly briefed about use of communication/IT tools and relevant logistics subjects.
• Ensure installation and maintenance of a functional office space(s) and occasionally, accommodation and lodging facilities for global positions.
• Produce monthly reports.
• The employee may be asked to carry out any other tasks as required and related to his position or capacity.
• The employee could be requested to work in another location, other than the mentioned due to possible MSF interventions as per needs by virtue of MSF principles.
