Summary:
The Administrative Assistant works under the direction of the Finance and Admin Manager to support a broad spectrum of activities. The Administrative Assistant provides necessary executive management, administrative team assistance and support, clerical, and travel support for daily operations of the SES II program. This support includes, but is not limited to providing support in correspondence and records management, including logging and processing incoming and outgoing correspondence, establishing and maintaining files, and maintaining requisition files for internal office and project supplies.
Job Function/ Description:
Primary responsibilities include, but are not limited to the following:
• Welcomes new employees to the organization by conducting orientation.
• Provides payroll information by collecting time and attendance records.
• Submits employee data reports by assembling, preparing, and analyzing data as requested by Finance & Admin Officer.
• Maintains employee information by entering and updating employment and status-change data.
• Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies.
• Maintains employee confidence and protects operations by keeping administration information confidential.
• Contributes to team effort by accomplishing related results as needed.
• Develop and maintain a documentation system with up to date information for all employee
• Follow up on documentation including placement descriptions, volunteer CVs and Contracts, employee’s contracts as required by Finance & Admin officer.
• Photocopy, bind, and laminate documents and undertaken general administrative duties in the office.
• Explain company personnel policies, benefits, and procedures to employees or job applicants.
• Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations, and classifications.
• Process and review employment applications in order to evaluate qualifications or eligibility of applicants.
• Examine employee files to answer inquiries and provide information as requested by Finance & Admin Officer.
