RESPONSIBILITIES
Program Implementation and Support
Collect and screen applications on a monthly basis, proposing which applicants could be suitable for different vacancies.
Maintain a shortlist of candidates for volunteer openings.
Solicit input from the program focal points regarding their upcoming needs for volunteer recruitment and support.
Work with HR and program focal points to submit and complete volunteer paperwork.
Collect monthly timesheets from program focal points and work with finance to prepare monthly payments for volunteers.
Monitoring and Evaluation
Produce monthly reports on the number of volunteers that worked in each location during the month and the total value of their payments.
Produce monthly reports on the number of screened/shortlisted candidates by sector of experience/expertise.
Coordination
Work closely with focal points across the sectors (ERD, WPE, Health) to understand their upcoming volunteer recruitment needs and begin to match potential applicants to their needs.
To hold monthly meetings with focal points across the sectors (ERD, WPE, Health) to discuss new updates and emerging needs and challenges.
Liaise with ERD Data Management and M&E Support Officer to manage the volunteers database
Liaise with the ERD Financial Liaison Officer to facilitate the process of volunteer payments by requesting ATM activation and recharge and any other inquiries as needed.
Other Duties
Follow all HR and finance policies and procedures when preparing and submitting contracts and payments.
Submit weekly reports to supervisor.
Participate in regular team meetings.
Attend trainings and assist in organizing trainings as required.
Work constructively within the team and take initiative on new tasks.
Prepare procurement and purchase requests as needed for program and follow up on those requests.
Maintain relevant program files.
Any other task designated by the Deputy Program Manager.
